Before ordering, confirm the warranty period, covered components, accessory policy, excluded causes, evidence required for diagnosis, training format, spare-parts process and the contact responsible for technical follow-up. Keep the signed quotation and machine records for every customer order.
1. Separate the main unit from accessories
Machine bodies, screens, power systems, handles and consumable parts may have different warranty conditions. Ask the supplier to state the main-unit and accessory periods separately.
BY BEAUTY's standard policy is one year for the main unit and three months for accessories, subject to the confirmed quotation and model configuration.
2. Confirm what evidence is needed
Remote diagnosis usually requires the model, serial or order reference, a clear description, photos, a short video and any screen message. Preparing this evidence reduces repeated questions and helps the technical team isolate the issue.
Never open or replace internal parts until the supplier confirms the safe diagnostic step and the responsible technician is qualified.
3. Ask how training is delivered
Training should cover setup, operating sequence, routine care, interface use and basic troubleshooting. Confirm whether the supplier provides manuals, product videos, live video guidance or recorded sessions.
The distributor should maintain local training records and adapt customer-facing instructions to applicable local requirements.
4. Understand parts and shipping responsibility
If a replacement part is approved, confirm who provides it, who pays the freight, whether the original part must be returned and what installation support is available.
For larger distributor orders, discuss practical spare-parts planning before shipment rather than waiting for an urgent service case.
5. Keep configuration and customer records
Support becomes difficult when the model name is known but the configuration is not. Keep the signed quotation, packing list, voltage, plug, handle list, software language and delivery date connected to the customer record.
Use the same information when requesting a repeat order so the supplier can identify any approved changes.
6. Evaluate response quality before ordering
Send a realistic technical question during supplier evaluation. A useful response should request evidence, explain the next diagnostic step and avoid unsupported promises.
Reliable after-sales communication is a process: report, review, diagnose, confirm the action, document the result and follow up.
